This Privacy Policy explains how Dalip AI AS (“Dalip.ai”, “we”, “us”) processes personal data in connection with the Dalip.ai platform and related services.

1. Scope and Roles

This Privacy Policy applies to:

  • Visitors to our website
  • Users of the Dalip.ai platform
  • Customer representatives and contacts

Dalip.ai acts in different roles depending on the context:

  • As a data controller when processing personal data related to website visitors, marketing, sales, and customer administration.
  • As a data processor when processing personal data on behalf of customers using the Dalip.ai platform, in accordance with applicable Data Processing Agreements.

Where Dalip.ai acts as a data processor, the customer is the data controller and determines the purposes and means of processing.

2. Personal Data We Process as Controller

When acting as data controller, Dalip.ai may process the following categories of personal data:

2.1 Website and Communication Data

  • Name
  • Email address
  • Company name
  • Job title
  • IP address
  • Communication content (e.g. emails, contact forms)

Purpose: Website operation, responding to inquiries, sales and customer relationship management.
Legal basis: Legitimate interest (GDPR Art. 6(1)(f)) or consent where required.

2.2 Customer and Contractual Data

  • Contact details of customer representatives
  • Account and billing information
  • Contractual correspondence

Purpose: Account administration, contract management, billing, and support.
Legal basis: Performance of contract (GDPR Art. 6(1)(b)) and legal obligation (Art. 6(1)(c)).

3. Personal Data Processed on Behalf of Customers (Processor Role)

When customers use the Dalip.ai platform, Dalip.ai processes personal data on behalf of customers as a data processor.

The categories of data processed may include:

  • User account information (name, email, role)
  • Professional and organizational information
  • User-generated content (meetings, meeting agendas, notes, action items, goals, pulse updates)
  • Audio and textual data from meetings where enabled
  • Usage and interaction metadata

The purposes, scope, and duration of such processing are determined by the customer and governed by the applicable Data Processing Agreement.

4. Use of Artificial Intelligence

Dalip.ai uses AI-based technologies to provide functionality such as transcription, summarization, insights, and recommendations.

  • AI processing is performed to deliver requested features and improve user experience
  • Outputs are generated based on user-provided input and contextual data
  • Customer data is not used to train models shared across customers or made available to third parties, except where explicitly agreed.
  • Dalip.ai does not perform automated decision-making with legal or similarly significant effects on individuals within the meaning of GDPR Article 22.

AI processing is subject to the same security and data protection controls as other processing activities.

5. Special Categories of Personal Data

Dalip.ai is not designed to process special categories of personal data (as defined in GDPR Article 9), such as health data or political opinions.

Users are instructed not to upload such data to the platform. If such data is included by users, it is processed solely under the customer’s instructions and responsibility.

6. Data Retention

Dalip.ai retains your Personal Information only for as long as reasonably necessary to provide the services you have engaged, meet our legal and regulatory obligations, resolve any disputes that may arise, and uphold our contractual commitments. Should we receive a valid deletion request under applicable data protection legislation, we will process such requests in accordance with the relevant legal requirements.

In certain circumstances permitted by applicable law, Dalip.ai may maintain your information beyond the original service period where there exists a legitimate business purpose, provided that such retention does not disproportionately impact your individual privacy rights and freedoms.

For data processed on behalf of our Customers in delivering the Dalip.ai platform, retention periods are governed by the terms established in our agreement with the respective Customer.

7. Data Sharing and Sub-Processors

Dalip.ai may share personal data with:

  • Authorized employees and contractors
  • Sub-processors providing infrastructure, hosting, analytics, or AI services
  • Public authorities where required by law

Sub-processors are subject to contractual data protection obligations.

7.1 Third-Party Login Services

Users may authenticate to Dalip.ai using third-party identity providers such as Google or Microsoft. These providers act as independent controllers for authentication purposes and are not sub-processors of Dalip.ai. By choosing to log in via these services, users are subject to the respective provider’s own privacy policy and terms of service.

8. International Data Transfers

Where personal data is transferred outside the EEA, Dalip.ai ensures that appropriate safeguards are in place, such as:

  • Adequacy decisions
  • Standard Contractual Clauses (SCCs)
  • Other lawful transfer mechanisms under GDPR

Dalip.ai implements appropriate technical and organizational measures to protect personal data against unauthorized access, loss, or alteration.

We maintain a comprehensive information security program that complies with applicable law and generally accepted industry standards.

Where Dalip.ai acts as data processor, requests should be directed to the relevant customer as data controller. Dalip.ai will assist customers as required.

11.2 Our Approach

  • No cookie consent popup: As a B2B SaaS application, we only use strictly necessary cookies and first-party analytics on logged-in users. This does not require a consent popup under GDPR/ePrivacy.
  • First-party analytics only: We use PostHog for product analytics. This data is:
    • Collected only from logged-in B2B users (not public website visitors)
    • Used solely for improving our product
    • Not shared with or sold to third parties
    • Not used for advertising or cross-site tracking
  • No third-party tracking: We do not use advertising cookies, social media trackers, or any third-party tracking technologies.

This Privacy Policy may be updated from time to time to reflect changes in legal requirements or processing practices.
